This policy explains what information Profound Estimates collects and how we use it. It covers profoundestimates.com, our free tools and guides, and your account at my.profoundestimates.com. Profound Estimates is a Digital Setups company. Digital Setups acquired Profound Estimates and operates the site and our services, so “we” and “us” mean Profound Estimates operated by Digital Setups.
Information you give us
- Account details. When you download a tool result or create an account, we collect your email address. If you provide them, we also collect your name, company, phone number, the kind of business you’re in and your trade. We confirm your email with a one-time code.
- Sign-in and security settings. We store your password if you set one, but only as a salted, one-way hash. We also store your two-step verification settings and hashed recovery codes.
- Contact form messages. We collect your name, email, optional company and phone, the topic you chose and your message.
- Customer information. If you order a service, we collect your company and billing details, including address and license number if you give them, and your contract details and quality grade. We also keep the plans and files you upload, your deliverables, notes and messages about your projects, and your invoice and payment records. Payment records include the method you chose, payment references and any payment proof you upload.
- Preferences. We store which notifications and emails you want to receive.
Information collected automatically
- Security data. To prevent abuse, we keep a one-way hash of your IP address with sign-ins, sessions, downloads, contact messages and consent records. We don’t store your raw IP address with these records. For each active session, we also keep your browser’s user-agent string.
- Account activity log. We record important account and admin actions, such as sign-ins, security changes, uploads, invoice changes and role changes. We use this to keep your account secure and to resolve disputes.
- Download history. When you download a tool result, we record the tool, the file type, the document reference and the time, so you can find it in your account.
- Analytics. We use Google Analytics to count visits and see which pages and tools people use. It collects information such as pages viewed, approximate location, device and browser type, and how you arrived on the site. Advertising features are off. You can switch analytics off in Cookie settings. If your browser sends a Global Privacy Control signal, analytics stays off. We also use it in your account dashboard at my.profoundestimates.com, to see how the dashboard is used. We don’t send your name, email or project details to Google Analytics.
- Bot protection. Our forms use Cloudflare Turnstile, which checks information about your browser to tell people from automated traffic.
What stays in your browser
The numbers you type into our free tools are calculated in your browser, and saved there so you don’t lose your work. They aren’t sent to us. Downloadable files are built in your browser too. We only receive the title of the download for your history.
How we use information
We use your information to:
- provide the tools, guides, your account and our services;
- prepare estimates, takeoffs and proposals from your documents;
- send sign-in codes, account and project notices, invoices and payment links;
- answer your messages;
- keep the site and your account secure and prevent abuse;
- understand how the site is used so we can improve it;
- send marketing emails, but only if you opt in (see below).
AI-assisted work
For Grade B and Grade C plans, we use software, including AI tools, to extract scope and quantities from your plans. For Grade B, an estimator then reviews the result. Your documents are processed only to produce your deliverables.
Marketing emails and your consent
Marketing emails include new free tools, estimating tips, and promotional messages and offers from Profound Estimates. We send them only if you ask for them:
- by ticking the separate marketing box on a download, contact or sign-up form. It’s never ticked for you, and you can use every form without it; or
- by subscribing with the newsletter form in the site footer, where subscribing is the request.
When you give or withdraw consent, we record whether you opted in, the date and time, which form you used, the version of the wording you saw, and a one-way hash of your IP address. We keep these records to show what you agreed to, including after you withdraw.
Withdrawing consent. Every marketing email has a one-click unsubscribe link, and supported email apps show an unsubscribe button. You can also change this in your account settings or email contact@profoundestimates.com. Unsubscribing takes effect right away. It doesn’t stop emails you need for your account, such as sign-in codes, invoices and project updates.
Announcements and notifications
Service announcements and notifications appear inside your account. You can choose which notifications also come by email in your account settings. We send promotional announcements only to people who opted in to marketing.
Sharing
We don’t sell your personal information or share it for cross-context behavioral advertising. We don’t share it with third parties for their own marketing. We share information only:
- with the service providers below;
- with Digital Setups, which operates Profound Estimates and processes payments;
- when the law requires it, or to protect our rights and users;
- as part of a merger, acquisition or sale of the business, under this policy.
Service providers
- Cloudflare: hosting, databases, file storage, bot protection and sending account email.
- Google Analytics: site usage statistics, as described above.
- Email provider for newsletters: the provider we choose to send newsletters, such as Mailgun or another SMTP service.
- Card payment providers: they handle card payments made through the payment links on your invoices. We never see or store your full card number.
These providers process data only to provide their services to us.
Cookies and local storage
We use a secure session cookie that keeps you signed in, and a small flag that lets our pages show that you’re signed in. Google Analytics cookies are set only while analytics is on. We use your browser’s local and session storage to remember tool inputs, dismissed notices, current deals and your place in a form. See Cookie settings for the full list and controls.
How we protect information
- All traffic uses HTTPS.
- Uploaded files are kept in private storage that only you and our team can open.
- Sensitive settings, such as bank account details and email server passwords, are encrypted in our database, and passwords are hashed.
- Our team members can see customer information only as far as their work needs, and important actions are logged.
- You can turn on two-step verification in your account settings.
How long we keep information
- Accounts. We keep account information while your account is active.
- Security data. Sign-in codes, expired sessions and old rate-limit counters are deleted automatically.
- Project and billing records. We keep project files, invoices and payment records as long as we need them to provide the service and to meet legal, tax and accounting requirements.
- Discarded files. Files you discard are hidden from you but kept for our records until we delete them.
- Consent records. We keep these as long as we need to show what you agreed to.
Your choices and rights
You can update your details, password, two-step verification and email preferences in your account. You can unsubscribe from marketing emails at any time. To ask us to access, correct, export or delete your personal information, email contact@profoundestimates.com. We’ll confirm your identity before acting on a request.
Depending on where you live, you may have more rights under state privacy laws, such as the California Consumer Privacy Act. We honor those requests and won’t treat you differently for making them. Records we must keep for legal or accounting reasons, such as invoices, may be kept after a deletion request.
Children
Our site and services are for businesses and aren’t directed to children under 16. We don’t knowingly collect their information.
Changes
If we change this policy, we’ll update the date above. For significant changes, we’ll also let account holders know by email.
