Terms of Service

These terms apply to your use of profoundestimates.com, our free tools and guides, your account at my.profoundestimates.com, and the estimating, takeoff and bid proposal services we provide. By using the site, creating an account or ordering a service, you agree to them. If you use the site for a company, you confirm you can accept these terms for it.

Who we are

Profound Estimates is a Digital Setups company. Digital Setups acquired Profound Estimates and operates the website, your account, our services and billing. In these terms, “we”, “us” and “Profound Estimates” mean Profound Estimates operated by Digital Setups. You can reach us at contact@profoundestimates.com or 814 975 0198.

Free tools and guides

  • Use. Our calculators, worksheets and document builders are free. Calculations run in your browser.
  • Downloads. Downloading a PDF or Excel result needs a verified email address. Downloading creates a free account so you can find your files later.
  • No advice. Results depend entirely on your inputs and are estimates for planning. Our state and trade guides, including lien deadlines, retainage and prompt payment rules, are general information and may not reflect recent changes in the law. None of it is professional, legal, tax, accounting or insurance advice. Check results and rules against current law, your contract and your own advisers before relying on them. See our disclaimer.

Accounts

  • Free accounts. Anyone can create a free account with a verified email address to keep tool downloads and choose which emails to receive.
  • Customer accounts. You become a customer when you order a plan. Your account then also holds your contracts, projects, files, invoices and payment records.
  • Security. Keep your sign-in details and any two-step verification codes and recovery codes safe. You’re responsible for activity under your account. Tell us promptly if you think it has been misused.
  • Accurate details. Keep your company, billing and contact details accurate.
  • Suspension. We may suspend or close accounts that break these terms, don’t pay what’s owed, or put the site or other users at risk.

Plans, quality grades and orders

  • Single projects and monthly plans. You can order one project at a time or a monthly subscription that includes a set number of projects each month. Unused projects in a monthly plan roll over while the subscription stays active and end when it ends.

  • Quality grades. Each plan has a quality grade, described on the pricing page:

    • Grade A is prepared in full by our estimators for the highest accuracy.
    • Grade B uses software, including AI tools, to extract scope and quantities from your documents, and an estimator then quickly reviews the result. It’s faster and costs less, but it’s less detailed than Grade A.
    • Grade C is AI-assisted and built for high-volume bidding at the lowest price. AI output can be inconsistent or incomplete, and Grade C gets only a light review, so it may miss or misread items. Check it before you rely on it.

    Choose the grade that fits how you’ll use the work. Lower grades trade detail and accuracy for speed and price, and that isn’t a defect in the service.

  • Scope and size. Each order covers the services, project size tier, grade and quantity in your contract. We confirm the scope and due date before work starts. Turnaround times are estimates and not guarantees.

  • Your documents. You confirm you have the right to share the plans and files you upload. Our deliverables are based on those documents. Missing or changed information can affect the result, the price and the due date.

  • Work progress. Your project page shows each stage of the work, and we notify you as stages are completed.

Prices and deals

  • Price changes. Prices can change at any time. The price shown when you accept your contract is the price you pay for that contract. If prices change while you’re signing up, we show you the new price before you accept.
  • Deals. Deals run for a limited time and apply only to the plans, grades and subscription sizes they name. Unless a deal says it stacks, you get either the deal or your subscription discount, whichever is larger. Deals can’t be exchanged for cash or applied to past invoices.

Invoices and payment

  • Processor. Payments are processed through our partner Digital Setups.

  • Methods. When you order, you choose ACH bank transfer or credit/debit card:

    • ACH. Your invoice lists the bank accounts to pay into. Include your invoice number as the payment reference.
    • Card. We add a secure payment link to your invoice, usually within minutes during business hours.

    You can switch methods while an invoice is open.

  • Payment proof. You can upload payment proof on your invoice. We confirm a payment once the funds arrive.

  • When payment is due. Invoices are due by the date shown on the invoice. Work starts once payment is received unless we agree otherwise in writing. Unpaid invoices are marked overdue, and we may pause work on your account until they’re paid.

  • Monthly plans. A monthly plan is invoiced each month while it’s active.

  • Taxes and fees. You’re responsible for any taxes and for your own bank or card fees.

Cancellations and refunds

  • Monthly plans. You can cancel a monthly plan at any time by contacting us. Cancelling stops future invoices. The current month stays available until it ends.
  • Refunds. Payments for work we’ve started or delivered aren’t refundable. If we can’t take on or complete a paid project, we refund the amount for that project.

Revisions

  • Free revisions. If a deliverable doesn’t match the confirmed scope and documents, tell us within 3 days of delivery and we’ll correct it at no charge.
  • Paid revisions. Revisions caused by addenda, scope changes, new or changed documents, or requests made after those 3 days are paid work, and we quote them before we start.

Estimates are professional opinions

Our estimates, takeoffs and proposals are prepared with care, but they are opinions of probable cost and quantity based on the documents provided. Actual costs vary with market conditions, site conditions, labor availability and other factors outside our control. You’re responsible for your final bid price and for reviewing our work before you use it.

Files and storage

  • Uploads. Files up to 2 GB each can be uploaded to a project or invoice. They’re kept in private storage that only you and our team can open.
  • Discarding files. Discarding a file hides it from you but keeps a record for our files and for disputes. Ask us if you need a file permanently deleted.
  • Your backups. Keep your own copies of important documents.

Samples

Sample estimates and takeoffs on the site are shown for viewing only. Don’t download, copy, scrape or redistribute them.

Emails and notifications

We send account emails that you need: sign-in codes, invoices, payment links, project updates and service notices. You can’t unsubscribe from these while you have an account. We send marketing emails and newsletters only if you opt in, and you can unsubscribe at any time. In-app announcements and notifications appear in your account, and you can choose which notifications you get by email in your settings.

Your content and our work

You keep all rights to the documents you upload. Once an invoice is paid, you may use the deliverables for your business, including in bids and proposals. We keep all rights to the site, tools, templates, guides and samples, and to our general methods and know-how. We won’t publish your project documents or deliverables without your permission.

Acceptable use

Don’t misuse the site. Don’t try to break or test its security without our written permission. Don’t overload our systems, scrape content or tools in bulk, or get around download or rate limits. Don’t upload malware, or content that’s unlawful or that you don’t have the right to share. Don’t use the contact form or any email feature to send spam.

No liability

  • Your decisions. Our tools, guides, samples and deliverables support your own estimating. You make and are responsible for every bid, price, contract and business decision based on them.
  • No liability. To the fullest extent the law allows, Profound Estimates and Digital Setups aren’t liable for any loss or damage arising from the site, the tools, the guides or our services. This includes errors or omissions in estimates or takeoffs, lost profits, lost bids, cost overruns, delays, and indirect or consequential losses.
  • Where liability can’t be excluded. If the law doesn’t allow a full exclusion, our total liability is limited to the amount you paid for the service that the claim concerns.
  • No warranties. Everything is provided “as is”, without warranties of any kind.
  • Indemnity. You agree to cover any claims made against us that arise from your use of our work in your bids or projects.

Changes, law and contact

We may update these terms. The date above shows the latest version, and we’ll email account holders about significant changes. These terms are governed by the laws of the United States and of the state where Digital Setups has its principal place of business. Questions: contact@profoundestimates.com.
